Speccing is the process of defining and documenting the requirements for a product, project, or system before development or procurement. The term is used as both a noun and a verb, as in “to spec a project” or “the speccing of the product.” A good spec communicates intent unambiguously to designers, engineers, suppliers, and testers.

Speccing spans industries. In engineering and manufacturing it covers performance, dimensions, materials, tolerances, safety, and regulatory compliance. In software and IT it covers functional and non-functional requirements, interfaces, data formats, scalability, and reliability. The output is often a specification document or a requirements traceability matrix that links needs to tests and verification activities.

Typical process: gather stakeholders, elicit and document requirements via interviews, use cases, or user stories; categorize into functional and non-functional requirements; define acceptance criteria and constraints; compare options; draft a technical and/or functional specification; obtain sign-off; and maintain version control with change management.

Common pitfalls include ambiguity, vague metrics, scope creep, over-constraining or conflicting requirements, and poor traceability. Best practices emphasize measurable criteria, standardized templates, early prototyping, stakeholder involvement, and clear change control.

Proper speccing reduces rework, aligns teams, and supports testing, procurement, and regulatory compliance. It enables clearer comparisons between proposals, sets realistic timelines, and helps ensure that final products meet user needs.
