Leverantörsdata refers to the set of information used to identify and manage suppliers within an organization’s procurement and financial systems. It covers the supplier’s legal identity, contact details, and the data needed to transact and monitor performance.

Typical data elements include legal name, legal form, registration or organization numbers, value-added tax or equivalent tax status, registered address, billing and contact addresses, primary and secondary contact persons, phone numbers, and email addresses. Financial details such as bank accounts, payment terms, currency, and tax information are commonly stored, along with procurement data like delivery terms, lead times, shipping methods, and preferred suppliers. Compliance-related fields may include sanctions screening results, insurance certificates, certifications, and ESG or sustainability attributes. Operational attributes can encompass EDI capabilities, catalog references, and performance metrics such as on-time delivery and quality history.

Purpose and use

Leverantörsdata enables accurate invoicing, payment processing, procurement planning, and supplier risk management. It supports supplier onboarding, ongoing data maintenance, contract governance, and analytics on supplier performance and spend.

Management and governance

Master data management practices are typically applied to ensure data quality, deduplication, validation, enrichment, and periodic verification. Data governance assigns data stewards, defines policies, and ensures synchronization across ERP, procurement tools, and supplier portals. Data quality challenges include duplicates, incomplete records, multilingual data, and changes in legal or financial status.

Standards and interoperability

Organizations use supplier identifiers (such as GLN or LEI) and standard data exchange formats (EDI, XML, API) to enable interoperability. Standards from GS1, UN/CEFACT, and related tax and regulatory frameworks guide data structure and sharing.

Privacy and compliance

Regulatory requirements (for example, GDPR) govern personal data handling, data retention, and cross-border data transfers, while sanction screening and anti-corruption controls mitigate risk.
