Activabeheer is the systematic process of managing an organization’s assets throughout their life cycle. It covers tangible assets such as equipment, vehicles and buildings, as well as financial assets and intangible assets such as software licenses, patents and goodwill. In many Dutch organizations the term is closely linked to IT asset management (ITAM), which focuses on hardware, software licenses, and related consumables.

Key activities include asset inventory and discovery; registration in an asset register; asset lifecycle management from acquisition to deployment, maintenance, renewal and retirement; asset tracking through unique identifiers; license management and compliance; depreciation and impairment accounting; and secure disposal and data sanitization.

Governance involves roles such as asset manager or IT asset manager, with support from procurement, finance and IT operations. Information from a configuration management database (CMDB) or other repositories is commonly used to support control and decision making. Activabeheer aligns with frameworks such as ITIL for service asset and configuration management and with standards like ISO 55001 for asset management systems. In accounting contexts it intersects with fixed asset accounting under IFRS or national GAAP.

The benefits include better cost control, optimized asset utilization, reduced risk, improved compliance and reliable financial reporting through an up-to-date asset register. Common challenges are maintaining data quality, integrating ERP, CMDB and procurement systems, addressing shadow IT, and ensuring proper data privacy and secure disposal.
