It serves as the formal record of the project's scope, objectives, decisions, and performance, and supports communication among stakeholders, accountability, and compliance with organizational processes.

Its purpose is to align sponsors, customers, and the project team; to define what will be delivered, how quality will be ensured, and how risks, resources, and schedules will be managed. It also provides a basis for governance, auditing, procurement, and post‑project evaluation.

Typical components include a project charter, scope statement and work breakdown structure, requirements specification, design and architecture documents, risk register, schedule and budget, communications and quality plans, change log, test plans and acceptance criteria, progress reports, meeting minutes, stakeholder register, and lessons learned.

Documentation is created early and maintained throughout the project. It is usually stored in a document management system, controlled by versioning, access controls, and formal approval workflows. Many organizations follow standards from PM frameworks such as PMBOK or PRINCE2; ISO 21500 offers a process-oriented reference. In agile settings, documentation tends to be lighter, emphasizing working artifacts and up-to-date backlogs.

Proper projektidokument supports governance, knowledge transfer, and continuity but can create waste if kept without value. Effective practices emphasize relevance, regular reviews, template usage, and periodic archiving of obsolete material.
