Postabteilung

The Postabteilung, literally "post department," is a unit within an organization that manages the flow of postal correspondence and parcels. In German-speaking contexts the term is used variably; many organizations refer to a Poststelle or Post- und Kurierdienst. The Postabteilung acts as the central point for handling incoming and outgoing mail and may distribute items to the correct departments or individuals.

Core duties include receiving mail, sorting by destination, delivering within the organization, and preparing outgoing mail and shipments. It coordinates with external postal and courier services, maintains mailbox assignments, and keeps records of consignments. It also handles packaging, franking or postage, and tracking of items, and ensures compliance with confidentiality, data protection, and retention policies.

In large entities the Postabteilung is often part of facilities management or administrative services and may employ couriers or outsource logistics. With digitization, its role increasingly includes digital mail management, scanned inbound mail, e-invoicing, and integration with document management systems, while the volume of physical mail may decline.

Terminology and practices vary by country and sector; nevertheless the Postabteilung remains a functional element of organizational administration, aiming to improve speed, security, and traceability of mail flows.
