Beställningar, Swedish for orders, encompass requests to procure goods or services and can describe both purchase orders used in procurement and sales orders generated from customer purchases. They formalize an exchange and bind parties to agreed terms.

In procurement, a beställning typically originates from an approved requisition and becomes a purchase order sent to a supplier. A PO lists items, quantities, unit prices, delivery terms, delivery date, shipping address, payment terms, and a PO number. The supplier acknowledges and fulfills.

In sales, a customer order creates a sales order in the seller’s system, including customer details, items, quantities, prices, taxes, shipping method, and delivery date. The seller confirms the order, then processes fulfillment, invoicing, and payment collection.

Order management involves tracking the order through stages: placement, processing, picking/packing, shipping, delivery, and post-delivery activities such as invoicing, returns, or credits. Modern organizations use ERP, OMS, and e-commerce platforms to synchronize data.

Legal and compliance: purchase and sales orders are generally governed by contractual terms; organizations must comply with procurement regulations, data protection (GDPR in the EU), and tax rules. Electronic invoicing and standards like EDI or XML can facilitate transmission.

Importance and challenges: accuracy of item data, lead times, supplier performance, and changes or cancellations affect cash flow and operations. Digital tools and automation improve speed, traceability, and accuracy.
