During an access review, a designated individual, often a manager or system owner, examines the access privileges assigned to users within their purview. This typically involves comparing the list of users and their assigned permissions against job roles, responsibilities, and organizational policies. The reviewer confirms whether each user still requires the access they have and whether the level of access is appropriate for their current duties.

The frequency of access reviews can vary depending on the sensitivity of the data or system, regulatory requirements, and organizational risk tolerance. Common intervals include quarterly, semi-annually, or annually. More critical systems may require more frequent reviews.

Outcomes of an access review can include the affirmation of existing access, the modification of access rights (either granting or revoking permissions), or the complete removal of access for users who no longer require it or have left the organization. Documenting the review process and its outcomes is essential for audit trails and compliance purposes. Implementing regular access reviews helps mitigate risks such as insider threats, data breaches, and compliance violations by maintaining the principle of least privilege.
