Resource databases are data stores designed to hold information about resources across a system or organization. They centralize records about tangible assets (hardware, facilities), intangible assets (software licenses, digital services), and human resources, along with metadata such as type, owner, location, capacity, lifecycle state, and relationships to other resources. By organizing resources in a structured way, these databases support planning, assignment, utilization, and governance.

Common data models include a Resource entity with attributes, a set of attribute types, and relationships to other resources or to assignments, workflows, and dependencies. States may include planned, available, allocated, in maintenance, or retired. Many resource databases are implemented as components of larger IT service management or enterprise resource planning ecosystems, such as configuration management databases (CMDBs), asset management systems, or project resource pools. They often integrate with discovery tools, procurement systems, and monitoring platforms to synchronize data and provide up-to-date views of resource availability and utilization.

Key challenges include data quality, consistency across sources, naming and classification standards, access control, privacy, and scalability in large organizations. Good governance typically relies on master data management practices, clear ownership, and periodic auditing. Resource databases enable operations planning, capacity management, cost tracking, and risk assessment by providing reliable visibility into the resources an organization owns or uses.
