EMailRouting is the process of determining and executing the path that an electronic mail message takes from sender to recipient. It involves translating a recipient address into delivery instructions across mail transfer agents (MTAs) and domains, using DNS and the Simple Mail Transfer Protocol (SMTP).

When an outgoing message is sent, the sending MTA performs a DNS query for the domain in the recipient address to obtain MX records. The MX records specify mail exchangers and their priority. The sending MTA connects to the highest-priority reachable MTA via SMTP and hands off the message. If that MTA is unreachable, it retries the next one according to priority. Some organizations route mail through a designated relay or gateway, which can apply filtering, policy checks, or compliance controls before delivering to the final recipient.

For inbound mail, the process is analogous in reverse: the recipient domain’s MX records guide inbound traffic to the recipient MTA or through an intermediary gateway. Internal routing may use connectors or routing policies to deliver mail to internal mailboxes or capture systems. The routing design affects how quickly messages arrive, fault tolerance, and compliance with security policies.

Security and policy considerations often accompany EMailRouting. Many deployments support TLS for MTAs (STARTTLS), authentication between MTAs, and policy markings such as SPF, DKIM, and DMARC that influence delivery trust. Common issues include misconfigured MX records, DNS propagation delays, and blocking by spam filters or blacklists. EMailRouting standards are defined by RFCs related to SMTP and DNS, and may be implemented by on‑premises servers or cloud-based services.
