IT System Validation is a structured process that demonstrates an information technology system and its related lifecycle processes meet predefined requirements and are capable of delivering the intended use in its operating environment. It aims to ensure the system functions reliably, securely, and with data integrity, and that risks associated with its use are identified and mitigated. Validation is distinct from verification: validation asks whether the system fulfills user needs, while verification checks conformance to specifications.

Core activities include creating a validation strategy and plan, capturing user requirements, performing risk assessment, configuring and integrating components, and executing formal testing. The common validation lifecycle uses specifications such as installation qualification (IQ), operational qualification (OQ), and performance qualification (PQ), along with traceability matrices that map requirements to test cases and results. Documentation, change control, and ongoing monitoring are essential elements.

Regulatory and standards contexts shape IT System Validation, particularly in regulated industries. Guidelines such as GxP and 21 CFR Part 11 influence data integrity, access controls, audit trails, and electronic records. Standards and frameworks—such as ISO quality management approaches and ISPE GAMP 5—provide risk-based methodologies for validating automated systems and software as a service within a validated environment.

Implementations may face challenges around time and cost, maintaining comprehensive documentation, changing requirements, vendor and cloud dependencies, and ensuring ongoing validation through system upgrades and periodic re-validation.
