In larger organizations the team may include a procurement manager, buyers, category managers, contract specialists, and procurement analysts. In smaller settings there may be a single purchaser or a shared service. The team can operate on a centralized or decentralized model, or a mix of both.

Key activities include developing procurement strategy and policies, conducting spend analysis, issuing tenders or requests for proposals, negotiating contracts, and managing purchasing processes from requisition to payment. The team also handles supplier performance assessment, risk management, and compliance with legal, regulatory, and corporate standards, including sustainability and supplier diversity.

Technology tools such as e-procurement systems and enterprise resource planning (ERP) platforms support the process, enabling workflow automation, supplier catalogs, and reporting. Common metrics include cost savings, total cost of ownership, procurement cycle time, and supplier performance and compliance.
