Kreditnotes are formal accounting documents issued by a seller to a buyer to acknowledge a reduction in the amount owed for goods or services originally invoiced. The term is derived from the French "crédit note" and is used interchangeably with credit memo in many jurisdictions. They serve as a record of returns, overbilling, pricing errors, or contractual adjustments and are essential for maintaining accurate financial statements and complying with tax regulations.

A typical kreditnote contains the issuing company’s details, the recipient’s information, a unique reference number that links it to the original invoice, the date of issue, the reason for the adjustment, and the amount being credited. Depending on local tax laws, it may also include the original invoice number, detailed line items, taxes that are cancelled, and any bank details for refund processing. Legally, many countries require that a kreditnote be retained for a specific period—often five to ten years—to support audit trails and tax deductions.

In practice, kreditnotes are generated at the time of goods return, service cancellation, or when the buyer disputes an invoice. Accounting systems integrate them into accounts receivable to reduce the outstanding payable balance and to adjust revenue figures accordingly. Some businesses auto‑generate kreditnotes when returned items are scanned into inventory, ensuring real‑time updates to financial reports.
