Hoofdbestand

Hoofdbestand is a term used in Dutch information management to describe the primary dataset that contains the authoritative attributes for core entities. It serves as the canonical source of truth for a domain and is used to feed and synchronize other related files, such as transaction logs, reference files, or derivative datasets. The hoofdbestand is typically maintained through controlled processes, with updates validated and propagated across systems to ensure consistency.

Key characteristics include a unique identifier for each entity, a stable schema, centralized governance, and formal update and reconciliation procedures. It functions as the authoritative repository from which other files derive their data, reducing duplication and inconsistencies across the information landscape. Regular data quality checks and synchronization processes help preserve its accuracy.

Common examples include the customer master file, product master file, and supplier master file. In these cases, the hoofdbestand stores core attributes such as identifiers, names, addresses, and essential properties, while transactional data (for example, orders or invoices) or reporting files reference these primary records. In practice, other systems may hold derived or transactional data that are linked to the hoofdbestand's identifiers.

The concept is closely related to master data management (MDM), which aims to maintain a single, consistent version of the truth across an organization.
