These levels are employed to balance the need for comprehensive description with the practical constraints of time, resources, and user needs. Different types of items or different stages of cataloging may warrant a specific level.

Generally, cataloging levels range from minimal to full. A minimal level might include only the most essential information, such as title, author, and a general subject heading, often used for rapidly processing large collections or less significant items. A full level, conversely, provides a highly detailed description, encompassing all relevant bibliographic data, multiple subject headings, notes, and other access points, typically reserved for important or unique items. Intermediate levels exist between these extremes, offering more detail than minimal but less than full.

The decision of which cataloging level to use is often guided by institutional policies, the nature of the material being cataloged, and the intended audience. For instance, rare books might receive a full level of cataloging, while newly acquired popular fiction might be cataloged at a more reduced level to expedite its availability to patrons.
